Anticipated Administrative Assistant

This is a 12 month position, full-time with the Coordinator of Instruction, Innovation & Intervention. Start ASAP.

$43,083/year minimum salary or based on applicable experience.

  1. Receives and sorts mail according to priority.
  2. Orders supplies.
  3. Schedules appointments, meetings, travel and conferences for Coordinator of Instruction, Innovation & Intervention.
  4. Types and distributes minutes from various meetings.
  5. Composes and/or types and proofreads a wide variety of letters, memos, reports and other documents.
  6. Updates curriculum maps annually and other times as necessary. Posts curriculum maps on District website.
  7. Develops District in-service brochures including working with teachers on course descriptions and scheduling sessions; manages attendance and payroll records for in-service; provides verification letters of attendance for all participants.
  8. Organizes and assembles books for New Teacher Orientation and Mentors in conjunction with Superintendent’s secretary.
  9. Prepares materials for Superintendents’ Conference Days and yearly district meetings in conjunction with Superintendent’s secretary.
  10.  Maintains records for all home-schooled students.
  11. Acts as District Registrar.
  12. Works with building staff to ensure accuracy of student attendance data.
  13. Assists in compiling state attendance reports and sends monthly census updates to the Superintendent and Food Service Director, as well as yearly perfect attendance reports to the Superintendent.
  14. Composes and/or types and distributes quarterly letters and other information for home-school parents as necessary.
  15. Organizes testing materials for students in grades K-8.
  16. Compiles and tracks achievement data for all K-12 students.
  17. Supports facilitation of district data to shared platforms (i.e. Schooltool, Panorama).
  18. Assists in entering and tracking Data warehouse information.
  19. Provide support to District personnel to create custom reports and other projects using student information system.
  20. Completes all other assignments as identified by the Superintendent or Director of Curriculum, Instruction, & Assessment.
  21. Deposits cash/checks for the District.
  22. Manages annual CPR classes and record keeping of such.
  23. Maintenance and record keeping of District’s AED units.
  24. Helps with onboarding of new employees.
  25. Grant submissions and record keeping.
  26. Set up and maintenance of NYS mandated employee trainings.
  27. Enter and manage professional development opportunities and staff participation including but not limited to Frontline.
